We are currently looking to hire a full-time Office Manager for our SumUp office in Boulder, CO.

What you will do?

  • Manage office-services, office-operations and office-procedures in the SumUp Boulder office: this includes being responsible for office systems, supply inventory, equipment procurement, maintenance, organizing meetings and events as well as managing the office related finances and contracts
  • Responsible for ensuring office financial objectives are met by preparing annual G&A budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
  • Manage relationships and negotiate contracts with vendors, service providers and landlord, ensuring that all services and items are invoiced and paid on time
  • Take responsibility for future office renovation/expansion projects 
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Organize and schedule meetings, events and appointments as needed for the team
  • Coordinate with IT on all office related equipment, systems and procedures 
  • Responsible for developing standards and promoting activities that enhance operational office procedures
  • Ensure security, integrity and confidentiality of data
  • Proactively work in partnership with senior leaders, functional business partners, and other Executive Assistants to provide seamless support to the organization and the leadership team
  • Work independently and within a team on special and ongoing projects
  • Act as a project manager for special projects, at the request of the Executive, which may include: planning and coordinating multiple presentations, disseminating information, and organizing company-wide initiatives and events
  • Understand business priorities and identify process improvements to create efficiency and scale for the leadership team
  • Conduct research, compile data, and prepare material for consideration and presentations
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Organize, execute, and assist with team activities (all-hands meetings, off-sites, and team social events)

  • You have 2+ years of experience as an Office Manager or Front Office Manager or Executive Assistant
  • Ideally, you have worked in a startup environment before 
  • You have the ability to work independently with little or no supervision
  • You are very structured, reliable and are an outstanding team player, who can support an office of diverse people
  • You have great attention to detail and problem solving skills
  • You have knowledge of office administrator responsibilities, systems and procedures
  • You are proficient in MS Office 
  • You have hands on experience with office machines (e.g. printers and routers) 
  • Your time management skills and ability to multitask and prioritize work are excellent
  • Your written and verbal communication skills are excellent
  • You have strong organizational skills in a fast-paced environment 
  • You have a creative mind with an ability to suggest improvements
  • You are an energetic professional who doesn’t mind wearing multiple hats
  • You are comfortable in English. Any other language is a bonus! 
  • You’re well-organised with good attention to detail, yet comfortable working in the fluid ambiguity of a thriving startup
  • You’re ready to share feedback and ask questions in any environment
  • You’re a curious mind comfortable with abstraction and detail
