Job brief

We are looking for an experienced, organized, and efficient executive assistant with a proven track record in fast paced organizations. The successful candidate will report directly to the CEO with a focus on enhancing his effectiveness through administrative support.  The Executive Assistant will be responsible for maintaining a complex schedule, managing international travel itinerary and agendas, and corresponding on the CEO’s behalf.

Responsibilities

  • Schedule and manage an active calendar of travel, meetings, events, and calls 
  • Arrange and manage complex travel itineraries and agendas, both domestically and abroad
  • Handle official and confidential correspondence for the CEO
  • Draft letters, documents and correspondence and compile documents in advance of meetings
  • Organize internal and external meetings
  • Provide administrative support for board meetings, advisory board meetings and large external and internal meetings, including travel, accommodations, reimbursements, and room bookings
  • Support the executive by attending meetings, providing materials and taking notes or minutes
  • Maintain organized and confidential files, office and company equipment
  • Additional operational support including budgeting, reporting, vendor research and negotiation as needed

 

Requirements

  • Highly responsive, professional and efficient
  • Excellent writing, editing, reporting, and verbal communication skills
  • Strong organizational skills, detail oriented with an ability to prioritize  
  • Proficient at scheduling, coordinating and booking
  • Microsoft Office Skills and willingness to learn new technologies
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, partners, customers and supporters
  • Comfortable supporting office maintenance and needs
  • Bachelor’s degree and over 5 years of relevant experience
  • Experience providing support for upper-level management
  • Collaborative yet able to work independently and with integrity
  • Ability to work out of Denver office
