Job purpose

The Clinic Manager is responsible for being a liaison between the patients and the Physicians and staff of the Gaudiani Clinic. The Clinic Manager is responsible for coordinating or assisting in the coordination of all aspects of patient care. Additionally, the Clinic Manager is responsible for managing the day-to-day operations of the office.

 

Duties and responsibilities

Each individual responsibility as well as the job as a whole should be completed with both the values of the clinic and brand integrity as priorities.

 

The duties of the Clinic Manager include and may not be limited to:

  • Phone Management:
    • Answers calls promptly (2 rings), identifies self professionally, transfers to appropriate team member, listens to and responds promptly to messages, and takes / manages messages when appropriate or necessary. Additionally, manages phone calls remotely when appropriate.
  • Office Management:
    • Effectively opens office space daily as per operating hours, maintains office space in line with the needs and values of the clinic (office supply stock, bathroom and kitchen supplies and maintenance, medical supply), Creates and maintains an ongoing budget for office and medical supplies as well as effectively communicates the information therein
  • Computer Management:
    • Maintains the ability and desire to learn and manage multiple web based platforms for patient care and coordination, efficiently and accurately manage the physician’s and patient schedules, manage and file the incoming and outgoing faxes for the office
  • Marketing:
    • Assist the marketing director as needed with tasks such as, ordering lunches, data input etc. The Clinic Manager may be asked to volunteer time outside of work hours for community events. The Clinic Manager will not be expected to cover the costs of these events when asked to attend by the company or the Marketing Director.
  • Intake:
    • The Clinic Manager will be responsible for receiving calls into the clinic and scheduling informational calls with the Intake Staff. Additionally, the Clinic Manager will send out paperwork such as consents packages, ROIs, and financial information and ensure that those are received and filed / printed as directed. The Clinic Manager will be responsible for gathering records, scheduling calls in advance of the initial visit and obtaining records. They may be assigned additional duties by the intake staff, nurse, and or physician.
  • Ongoing Patient Care:
    • Greets all patients and the ability to interact within the clinic values, assists and takes initiative in developing and improving processes for patient flow in the clinic, and is generally responsive to patient needs. The Clinic Manager will be responsible for scheduling calls, coordinating the collection and filing or medical records, facilitating team communication with the clinic, scheduling initial and follow-up visits as well as assisting the nurse in coordinating care.
    • The Clinic periodically offers meal and snack support to members. The Clinic Manager must be able to model appropriate eating behaviors and offer support to patients who take advantage of this offering.
  • Insurance:
    • Understands how insurance works within the Gaudiani Clinic operations, is able to effectively convey that information to patients and inquires, assist in the creation and sending of superbills and claims, where appropriate, manage and file insurance paperwork as required or requested.

 

Qualifications

Minimum Education Required: High School Diploma and at least 3 years in a related setting; an advanced degree in a related field is preferred.
