Administrative Assistant
The Administrative Assistant is the primary interface with our clients. A main component of the job is to answer the phone cordially and briefly converse with dentists and other dental office staff. The Administrative Assistant also reviews incoming cases and schedules the work in the lab accordingly. In addition, this person will be responsible for ordering materials and occasionally doing pick-ups and deliveries.
Key tasks:
Answer the telephone – Interact with Dental offices and at times patients of dental offices
Enter sales orders in Quickbooks
Create invoices in Quickbooks
Schedule completion dates of orders based on needs of dentists as well as lab capabilities
Assist in executing completion by printing list of items to ship each day and tracking them to completion
Creating shipping paperwork, wrap and box product
Order material and lab supplies
Light cleaning, as needed
Perform local pick-ups and deliveries - Must have a vehicle with valid insurance. Mileage expense will be reimbursed.
Schedule pick-ups and deliveries with courier service as required
Assist in light bookkeeping tasks
Assist in any administrative project
Hours per week
40 hours depending on needs
Hours of work –
- Typically 6:30 – 3:30 Monday – Thursday
- Friday is typically a half day
- Hours can vary based business needs
Requirements:
High school diploma or GED, Associates degree preferred
Valid driver’s license with good driving record
Reliable vehicle and insurance – will reimburse mileage per IRS standard mileage rate; currently at 54.5 cents per mile
Proficiency in MS Word and Excel
Basic QuickBooks knowledge a plus

Experience:
2-3 years in an office administrative position
