As an Administrative Assistant  in Xactly's growing Denver, CO office, you will provide support to our Denver office & CFO. We are seeking an excellent and proactive multi-tasker who can assist in managing the Denver office, as well as the CFO’s calendar, meeting coordination (on and off site), assist with presentation preparation, travel arranging, and reporting. The qualified person will demonstrate poise, professionalism, a positive attitude, be customer focused and have exceptional organizational skills in our fast-paced and fun environment!

Responsibilities:

  • Manage busy CFO calendar, prioritizing contact requests, flagging conflicts, and negotiating rescheduling as necessary 
  • Anticipate all logistics and requirements for meetings, presentations and events the CFO attends
  • Calendar management for all activities, events, meetings, travel, conferences and Board activities 
  • Coordinate executive events such as QBR (quarterly business review), etc.
  • Expense reporting 
  • Handle confidential matters with discretion 
  • Complete special projects as required to support the CFO 
  • Provide leadership and influence to create a sense of urgency in others to maintain the discipline necessary for the CFO
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CFO, including those of a sensitive or confidential nature, and determine appropriate course of action 
  • Responsible for the facilities day-to-day operations; such as set-up and distribution of building access key cards, correspondence with maintenance team, etc.
  • Supervises the maintenance of office areas, equipment, and housekeeping of office facilities
  • Monitor inventory of office supplies and reorder as necessary
  • Prepare all outgoing mail/shipments and receive/sort/deliver incoming shipments/mail
  • Plan, organize, set-up, and complete catering orders for the Denver office or CFO as necessary
  • Manage the parking program, adding/deleting parking, requesting new parking access cards, validations tickets, etc.
  • Function as point of contact for visitors coming from other Xactly offices
  • Provide general support to visitors, including clients, vendors, etc.

     

    Desired Skills and Experience:

  • 1-3 years of administrative experience support; prior experience supporting a C-level executive a plus
  • Proficient in Gmail, MS Office software products (advanced level necessary)
  • High energy level, self-motivated, positive, outgoing, personable, proactive and able to relate well with diverse populations of all levels 
  • Highly resourceful team-player, with the ability to also be extremely effective independently 
  • Excellent customer service skills
  • Superb communication skills, both verbal and written 
  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities 
  • Keen sense of judgment and knowledge of the business 
  • Strong computer and internet research skills 
  • Superior organization and prioritization skills 
  • Displays respect, integrity, professionalism and discretion
