Job Title: Experiences Specialist

Reports To: Manager of Experiences

General Purpose of Job: Oversee the development, operations and onsite execution of our Event Experience Portfolio (including but not limited to programs like the Masters Tournament, Kentucky Derby, US Open Golf, Wimbledon).

 

Essential Duties and Responsibilities -

 

Program Operations:

  • Assist in gathering and producing marketing materials for new Experiences; including writing copy, gathering imagery, creating sales tools and incentives, and setting timelines for completion with marketing.
  • Create department timelines, newsletters, and any necessary member communication in the months/weeks leading up to Experience departures. Including pre-trip planning with vendors and members.
  • Collect and process guest information from Formstack, Salesforce, and other data collection platforms. Build production schedules, program manifests, and member itineraries.
  • Assist with the creation and maintenance of internal resources for Member Care and Sales Departments reference. Support the booking and selling of Experiences through strong Member communication, relationship building, and sales calls with Care or directly with Members.
  • Understand & monitor terms and scope of contracts between Inspirato and existing partners. Along with project managers, maintains that deadlines are met as detailed in the contract.
  • Travel to the location prior to the experience to manage set up and arrival of guests, welcome members, man hospitality desk. Manage onsite production schedules for each Experience. Interact with members during all hours of the day onsite, be on call to answer questions from members, contractors, and Inspirato employees both onsite and in the office.
  • Manage conflict resolution and contingency planning onsite. Ensure all activities in the itinerary go well and resolve any issues to ensure the member experience is exceptional.

New Experiences:

  • Assist in the development of new Experiences by brainstorming ideas for destinations to add to the Experience portfolio.
  • Provide recommendations to enhance experiences to achieve revenue goals or save on bottom line budget.
  • Understand financial proformas and cash flow models in excel to formulate client pricing, cost, and revenue projections for each trip.

General Support:

  • Attend weekly 1:1s with Manager of Experiences and bi-monthly meetings with Director of Experiences.
  • Present at department, team, executive, and small group meetings as requested.

Experience: 

  • 2-3 years in Event Planning or Luxury Travel industry
  • Candidate possesses a college degree.
  • Travel industry knowledge and background.

Requirements:

  • Ability to travel frequently to conduct site visits and onsite trip execution.
  • Ability to work on weekends on occasion.
  • Understand financial proformas and cash flow models in excel to formulate client pricing, cost, trip pricing, and revenue projections for each trip.
  • Conflict resolution skills when dealing with member and vendor relationships.
  • Ability to develop strong relationships and manage multiple partners, vendors, and programs.
  • Must have proven strong communication skills (verbally and written) with the ability to present experience plans to internal teams and external partners.
  • Proficient in all Microsoft office operating systems.
  • Self-driven with maintaining a personal schedule to accomplish daily tasks.
  • Extremely detail oriented and organized.
