About the Team

The Zoom Legal Operations team empowers the growing Legal Department to work more efficiently and effectively as they deliver quality legal services to their business partners. Initiatives are primarily focused on strategic planning, process optimization, technology strategy, financial management, vendor management, and communications & culture to drive operational excellence, mitigate legal risks and control operating costs. 

About the Role

This is an exciting opportunity to join Zoom's Legal Operations team. As Legal Operations Manager you will report to the Head of Legal Operations and will manage projects and initiatives focused on optimizing systems and ways of working and enhancing communications and engagement across the department. The ideal candidate will have process design and legal technology expertise, outside counsel management, spend analytics experience, strong written and verbal communication skills, as well as an understanding of the change management needed to successfully design and implement legal solutions. The expectation is that this individual will roll up their sleeves and do the work to ensure operational excellence is achieved across the Department. Although headquartered in San Jose, California, the Legal Department is geographically dispersed, and this position can be remote.

In this role, you will work in the following key areas and responsibilities will include:

(1) Technology Strategy & Process Optimization:

  • You will support management and execution of the Legal technology roadmap and suite of technology. You will help select, implement, and optimize digital contract lifecycle management (CLM) tools.

  • You will identify, create, and improve legal workflows, focusing on efficiency, scale and operational excellence (e.g. automate incoming requests for legal review and advice, leverage technology to respond to legal questions from the business).

  • You will also support our Knowledge Management program by developing and maintaining forms, policies, FAQs and other self-help tools for clients

(2) Budget and Financial Management:

  • You will partner with Finance in supporting the Legal Department's budgetary processes, including monthly financial reporting that outlines key insights and recommendations.

  • You will manage tracking and reporting of legal spend and measuring effectiveness of billing guidelines and use of eBilling platform to manage and control external spend.

(3) Outside Counsel & Vendor Management:

  • You will manage outside counsel and vendor onboarding & identify opportunities to reduce external legal spend while optimizing relationships with our law firms.

  • You will maintain and update the Legal Department's billing guidelines as well as define and enforce processes and policies to manage outside counsel usage and spend.

(4) Reporting & Analytics:

  • You will contribute to the development of Legal Department metrics to inform decision making and support senior leadership in developing operational strategies and best practices

(5) Communications & Engagement:

  • You may contribute to the development of content and strategies for Department All Hands meetings and offsites. You may support the management of Department working groups. You may support the planning and execution of the Legal Annual Meeting.

About You

  • You have 6+ years of experience with in-house legal operations

  • Prior experience at fast growing company or legal consulting firm preferred

  • Required experience in legal processes, operations and exposure to legal tools such as a contracts management system, e-billing/spend management solution, and/or electronic signature software

  • A history of building strong relationships, credibility, and partnerships and of working in cross-functional teams

  • Passion for creative problem solving and change management requirement to implement successful solutions

  • Outstanding analytical, problem-solving, written and verbal communications skills

  • Comfortable working independently and remotely with general direction, handling ambiguity, and managing up and across as needed to meet goals and deadlines in a fast-paced environment
