Payroll Manager

We're looking for an experienced Payroll and Benefits Manager to work closely with our Accounting and Human Resource Departments to bring cohesiveness and productivity to the payroll and benefits processes. In this role, you'll improve efficiency through streamlining processes to scale, as Hotel Engine is looking to add considerable headcount throughout the rest of 2021. This hire will directly report to our Assistant Controller.
Here's what you'll do:
- Prepare and process payroll, including ensuring compliance with federal, state and local regulations
- Perform all payroll operations, including processing new hires, merit increases, promotions, terminations, bonuses, commissions, liens and garnishments, accurately and timely
- Understand proper taxation of earning and deduction types (bonus, advances, severances, etc.)
- Partner closely with HR on employee benefits and withholding (401K, FSA, HSA, etc) elections
- Enter monthly payroll and benefits related journal entries and accruals in Netsuite
- Reconcile payroll and benefit GL accounts monthly, including reviewing and auditing benefits invoices
- Maintain records for all employee bonus and commission agreements
- Maintain register of new employee stock option grants and performance-based option grants
- Handle all employee facing issues and questions related to payroll
- Ensure workers’ compensation policy covers employees in all states and localities, including updating the policy for new hires and terminations
- Manage external payroll, 401k and workers’ compensation audits
- Process accurate and timely quarterly and year-end reporting when necessary (W-2, W-2c, 1095, 1099-NEC)
- Maintain payroll and benefits policies and procedures documentation
- Register in new states and localities as we expand with new employees in different states
- Ensure proper employee set-up and termination in ADP and administer employment paperwork (I-9, W-4, etc.)
- Ad hoc reporting and projects, as needed
Here's what we're looking for:
- 5+ years of experience in payroll and benefits
- Skilled at processing payroll using ADP
- Strong multi-state payroll experience
- Accounting experience (entering journal entries and performing payroll and benefits account reconciliations)
- Proficiency with NetSuite and Excel preferred
- Experience in a similar role in a high-growth company
- Ability to prioritize work efforts and navigate change
- Ability to work independently and be proactive in identifying opportunities and recommending solutions
- Able to handle sensitive and confidential situations and information appropriately
Cash compensation:
- The base salary for this role is $75,000-$85,000/year. Final offer amounts are determined by multiple factors, including prior experience, expertise & may vary from the amount above.
