Executive Administrative Assistant
As an Executive Assistant at Vendavo, you'll support the executive team directly and interact with internal team members and external stakeholders including board members, customer and potential customers. You will have a wide range of organizational and administrative responsibilities including coordinating schedules with internal and external counterparts,and arranging travel. You'll also coordinate select internal meetings and events. You'll be a critical member of the team, making sure the executive team has the opportunity to focus on the highest impact work while navigating through their meetings and priorities with ease.
Reporting to the Chief People Officer, a day in our Denver-based, open, collaborative workspace might look like:
- Managing multiple executive's calendar, drafting emails, coordinating meetings and video/conference calls, answering phone calls, and solving other administrative issues when they arise
- Managing relationships via email and phone with both internal and external stakeholders including members of our Board of Directors
- Taking on internal communication & planning responsibilities, such as supporting weekly team meetings and managing team events
- Organizing and preparing content for offsite meetings, conferences, and seminars in addition to planning hotel and travel arrangements
- Collaborating cross-functionally with teams around the globe.
- Planning and coordinating domestic and international travel arrangements for various executives and assist with all logistics associate with the travel.
- Assist in submitting and tracking expense workflow, ensuring expenses reports are prepared and submitted timely.
In this role, you'll expand your expertise by:
- Learning the ins and outs of Vendavo as you use your organizational, multitasking, and problem- solving skills in a fast-paced, intense and dynamic environment
- Implementing new innovative practices to streamline and focus our executives' time and efforts on the highest impact priorities
- Developing strong relationships with the Vendavo team and high-profile external stakeholders

What you'll add to Vendavo – as an individual and part of the broader team:
- Experience in a startup or similar fast-paced environment where there is frequent change and a need to demonstrate and act with a sense of urgency
- 2+ years of experience in similar or related roles supporting multiple executive leaders
- Experience working with board members, coordinating board meetings and preparing board materials.
- Exceptional organizational skills, flexibility, multitasking abilities, and a high level of attention to detail in a fast-paced environment
- Excellent written and verbal communication skills and ability to interact with clients, both internal and external
- Advanced knowledge of Microsoft Office applications, with excellent Outlook, Excel and PowerPoint skills, along with Google docs and Microsoft Teams.
- Highly-creative, problem-solver with strong social media skills
- Experience with expense reporting and HR systems such as Confluence and ADP.
- Ability to anticipate needs of the senior leadership team before they arise (think like your customer)
- Maintain a high level of confidentiality at all times,and communicates professionally with all levels of the organization.
- Demonstrated experience in an internal or external customer service capacity, with a positive, “can-do attitude”.
- Excellent written, oral, and interpersonal communication skills.
- Demonstrated ability to work well in a fast paced, team environment, and adapts to change easily.
