How You Fit In:

As part of the People & Culture Team of Reserve Trust you’ll play a critical role in coordinating, processing and performing all payroll and benefits functions and related reporting. Our team members are true business partners to our department leaders, providing recommendations and advice based on our expertise. To be successful in this role, this individual must be highly knowledgeable in benefit plans, payroll tax processing and reporting, as well as HRIS management. The ideal candidate is also comfortable interacting directly with staff and being the main point of contact when a payroll or benefit issue arises.

 

This role reports to the Director of People & Culture and will interact with vendors, brokers and benefit carriers to ensure proper functioning, reporting and processing of payroll and benefits. In addition, the Benefit and Payroll Senior Specialist will be the main point of contact for employees for all things benefits and payroll and act as a liaison between our broker, carriers and HRIS.


What You’ll Do:

· Payroll responsibilities, including but not limited to:

o Manage end to end semi-monthly payroll processing

o Partner with People & Culture team members to process all employee changes, new hires and terminations

o Respond to payroll inquiries from employees

o Work closely with the Finance team on required annual auditing and financial reporting

o Frequently perform and review complex mathematical calculations in payroll processing and reporting; calculate salaries, payroll documents, payroll changes, and complete other necessary forms

o Proactively review payroll system and perform active data reconciliation

o Ensure accurate employee labor distribution records, overtime and withholding status

o Proactively adhere to wage and hour related regulations

o Partner with HRIS vendor to open any new state taxes, as necessary

o Handle any state employment tax notices and requests

o Process accurate and timely year-end and quarterly reporting and taxation processes such as W2, EEOC, 5500, Census, and completes other like processes

o Enter and/or report 401(k) contributions to a 3rd party provider and is responsible for the upkeep and entries within the HRIS/Payroll system

o Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages and generates other system reports as needed

o Responsible for audit process of 401(k), workers compensation and any other benefit and payroll audits as needed

o Participate in salary, benefits, and other People & Culture related surveys

o Update employee change requests, assists, and prepares correspondence to 3rd party entities such as employment verifications, unemployment, workers compensation, etc.

o Provide data-driven insight and analysis surrounding compensation structures

o Provide garnishment and withholding notices to the employee and payroll provider in a timely manner for processing

o Other payroll transactions and adjustments

· Benefits responsibilities, including but not limited to:

o Administering, processing and maintaining company benefit programs – group health, dental, life and supplemental insurance, FSA and HSA plans, 401(k) plan

o Work as liaison with insurance carriers, brokers, and employees to resolve issues

o Coordinate annual open enrollment meetings with employees and brokers

o Participate in New Hire Orientation to ensure employees understand the employee benefit portal and programs; be the go-to person for both

o Assist employees with benefit questions, enrollment and changes; ensure accuracy of elections in payroll and with carriers

o Reconcile benefit invoices against monthly headcount and resolve issues with carriers/broker, where appropriate

o Processes employee benefit elections including new hire, annual enrollment, and life events. This includes accurate taxation of employer paid benefits

o Review and analyze changes to state and federal laws pertaining to benefits and reports necessary or suggested changes to Director of People & Culture

o Consult with Legal and Finance departments on preparation and execution of benefit documentation such as original and amended plan texts, benefit agreements and insurance policies

o Ensure compliance with all annual reporting requirements such as Employee Retirement Income Security Act (ERISA), non-discrimination testing, and 401(k) audits

o Coordinate company benefits with government-sponsored programs; oversee the administration of the organization’s annual Affordable Care Act (ACA) reporting

 

Basic Qualifications:

· Minimum of 5 years’ experience in payroll and benefit administration, handling multi-state organizations

· Certified Payroll Professional (CPP) and Certified Employee Benefit Specialist (CEBS) certifications preferred

· Working knowledge of wage and hour requirements and taxation requirements: both State and Federal for a multi-state organization

· Excellent working knowledge of Paylocity payroll/ HRIS software

· Working knowledge of payroll best practices

· Highly proficient in Microsoft Office products: Outlook, Word, Excel, PowerPoint

· Strong interpersonal (verbal and written) communication skills

· Handle confidential information with high sensitivity and discretion

· Ability to build and develop relationships

· Excellent attention to detail while multitasking

· Extremely strong analytical and organizational skills

· Ability to execute daily tasks with minimal supervision

· Maintain records or files in a compliant and organized fashion

We feel passionately about equal pay for equal work, and transparency in compensation is one vehicle to achieve that. Total compensation for this role is market competitive, including a base salary range of $80,000 – 100,000. Reserve Trust intends to offer the selected candidate base pay within this range, dependent on job-related, non-discriminatory factors such as experience and location.
