The focus of this position will be to implement and own our Preferred Vendor Program and be the point of contact for vendor commission processes and procedures. The Project Specialist will innovate and develop touchpoints for the Preferred Vendor Program as a primary responsibility of their role. The position will also be tasked with supporting other projects identified by the Accounting Operations team. A successful candidate will develop a positive rapport with our destination teams, our vendors, and cross-department partners by anticipating their needs and professionally communicating all pertinent information to the leadership team. This person must have proven success in taking projects to the next level.

 

Responsibilities:

  • Assist in creating and maintaining infrastructure for the Preferred Vendor program by utilizing existing Inspirato systems and products and making thoughtful suggestions for external systems if/when necessary
  • Track Vendor commissions on a monthly basis which includes but is not limited to: contacting all Preferred Vendors on a monthly basis to request commissions, provide monthly reservations tracking to Preferred Vendors, and tracking/forecasting total vendor commissions monthly, quarterly, and annually
  • Ensure vendors are set up in all required systems
  • Work with other department partners involved in the Preferred Vendor process including Legal, Product, Human Resources, and Destination Experience
  • Collaborate with Portfolio Experience Managers and Destination Management teams to ensure quality and luxury standards are met for all Preferred Vendors
  • Track key performance indicators and make recommendations to leadership for operational and people changes to maximize member experience
  • Create visibility for destinations teams around Preferred Vendors in their respective destinations.
  • Work with Business Intelligence to create Tableau dashboard that allows a multi-faceted tracking/filter approach to the Preferred Vendor program
  • Work with destination teams to seek out, vet, and onboard new vendor agreements in-destination that align with Inspirato service values
  • Create SOPs for destinations teams and vendors to highlight specific areas of the Preferred Vendor program, including announcements/updates when Preferred Vendors are added or removed in a destination 
  • Provide support to destination teams throughout various benchmarks within the Preferred Vendor process.
  • Train Destination Teams on the Preferred Vendor program
  • Ensure Preferred Vendor contracts are agreeable with in-destination operations and work with Legal team to make changes when necessary
  • Ensure compliance with Inspirato Service standards and procedures
  • Maintain and provide financial and satisfaction reporting as needed
  • Support other collections efforts as needed
  • Crosstrain with other employees on the Accounting Ops team

Required Skills: To perform the job successfully, an individual should demonstrate the following competencies:

  • Software Expertise - Proven expertise in the Microsoft Office Suite and Inspirato systems including: Salesforce, Travefy, Tableau, Admin Portal, and Coupa.
  • Project Management - Must be able to manage multiple tasks simultaneously, ensuring that all components of each task are properly presented, managed and reported.
  • Organization – Must be incredibly organized and detail-oriented. Must be able to take on large projects with no infrastructure and create systems/processes utilizing resources at-hand.
  • Contract Management – Must have skills to hold vendors accountable to their agreements.
  • Problem Solving – Must be able to solve problems in a timely manner; gather and analyze information skillfully and efficiently; and work well in group problem solving situations.
  • Communication Skills - Must be able to communicate effectively, professionally and in a concise manner, both verbally and in writing.
  • Positivity - Upbeat, positive disposition with genuine “can do” attitude
  • Adaptability – Must be able to adapt to changes in the work environment; manage competing demands; change approach or method to best fit the situation; able to deal with frequent change, delays, or unexpected events, appreciates opportunity to adjust and adapt with growing business.

Qualifications: Candidate must meet the following qualifications:

  • A minimum of 1 year of experience working successfully in a similar business.
  • Bachelor’s Degree; preferably in Accounting and Finance or Business Administration
