What you will do
As our Payroll Specialist, you will process and manage Vangst’s payroll and prepare updates to our payroll/HRIS system. Your primary responsibilities will be the administration and processing of Vangst’s weekly payroll for 200+ contract employees, ensuring each payroll (weekly) is processed timely and accurately. This position will review timecards to ensure accuracy, perform database maintenance of employee information and respond to all incoming employee payroll inquiries. This highly impactful role interacts with all levels of the organization and must have a customer service mindset with a positive attitude, as well as a highly organized process for trusted confidential information.

Essential Duties and Responsibilities
Performs all activities necessary to process one or more full cycle payrolls, including maintaining related records, tax reports, deduction reports, garnishments and preparing billing documents for invoicing
Reconcile payroll registers, update taxation and deductions based on employee work locations, process garnishments and backpay for all employees in HRIS (Kronos)
Respond to all incoming payroll inquiries using our Salesforce Ticketing System to ensure that pay discrepancies for clients and employees are resolved in a timely manner and all hours worked are accounted for the current pay-period
Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
Determines payroll liabilities by approving the calculations of employee federal and state income and social security taxes, and employer's social security , employment and workers' compensation payments
Respond to any errors in payroll by reviewing past records and making any wage corrections or adjustments when necessary
Ensure payroll system (Kronos) is set-up, updated and maintained to reflect current employee base & pay groups, wages & compensation, related taxes and records
Serve as main point of contact for employees on all questions related to their paycheck and maintain employee confidence by keeping information confidential
Process all employee terminations in Kronos with wages owed and work with HR to communicate final payment information to employee
Issue and distribute paychecks, manage direct deposit entries, benefits withholding, payroll deductions, garnishments and levies, flexible spending accounts, federal and state payroll tax deposits and returns, new hire reports, federal payroll summaries, W-2s, wage and hour law compliance, and paid leave, vacation and sick time reporting
Support the State registration and filing process for Unemployment, Department of Revenue, and other requirements in accordance to the State employment
What you’ll need to be successful in this role
Associate’s Degree or higher preferred; CPP Preferred
3+ years experience in high-volume, hourly employee payroll administration
Excellent interpersonal and communication skills, both written and verbal
A strong sense of urgency and experience in dealing with employee payroll issues
Meticulous attention to detail, excellent organization skills and ability to maintain productivity
Ability to provide exceptional customer service to internal and external customers by responding in a timely and professional manner to all inquiries via email and phone
Strong time management skills by planning and prioritizing work to accomplish all tasks
Ability to operate in a highly ethical manner with a strong enthusiasm for helping others
Aptitude for numbers and exceptional commitment to accuracy
Ability to manage large volumes of paperwork and take initiative by identifying needs and taking action prior to being asked
Strong attention to detail and ability to prioritize tasks and execute through constant follow-up communications
Experience working with highly sensitive and confidential materials and the ability to maintain confidentiality in all situations
