VitriVax is a venture-funded biotechnology startup company, based in Boulder, Colorado, that is revolutionizing how vaccines are distributed and administered globally.  Our patented Vaccine Formulation Platform, developed with funding from the National Institutes of Health and the Bill and Melinda Gates Foundation, allows virtually any vaccine to be made thermostable up to 150°F, and enables the combination of prime and boost doses into a single injection, with timed release.  

We partner with vaccine developers to formulate their vaccines, and license out our technology for those partners to manufacture and commercialize the resulting product.  VitriVax formulated vaccines can be shipped globally without refrigeration or freezing, last for years on the shelf, and only require one patient interaction to deliver prime and boost doses.

Position

The Head of Finance and Administration will be a hands-on and participative manager and will lead and develop an internal and external team to support the following areas: finance, business planning and budgeting, human resources, administration, and IT. The successful candidate will be a strategic thought partner, and report directly to the CEO. 

The Head of Finance and Administration will play a critical role in partnering with the senior leadership team in strategic decision making and operations as VitriVax continues to grow and expand its business. 

Responsibilities:

Financial Management

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all stakeholders, and oversee all financial, project/program and grant accounting
  • Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
  • Oversee and lead annual budgeting and planning process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.
  • Manage organizational cash flow and forecasting
  • Implement and operate robust financial management/reporting systems and procedures, including revenue recognition, manual journal entries, accounts payable, accounts receivable, bank reconciliation, and employee expense reporting
  • Update and implement all necessary business policies and accounting practices; improve the company’s overall finance policies and procedures.
  • Effectively communicate and present the critical financial matters to the board of directors

Human Resources, Technology and Administration

  • Further develop and operate VitriVax’s human resources and administration functions, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
  • Manage 401k plan and vendor, and facilitate the annual audit process
  • Manage annual health insurance selection and plan administration
  • Implement and manage consistent and streamlined recruiting and hiring processes
  • Establish and manage a comprehensive training program to educate employees regarding staff tools, policies, and procedures.
  • Work closely and transparently with all external partners including third-party vendors and consultants.
  • Oversee administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales.

Qualifications

  • Entrepreneurial passion, an ability to wear multiple hats, multi-task, and adapt to change with agility in a fast-paced startup environment
  • Minimum of a bachelor’s degree, ideally with a CPA, or an MBA or related degree
  • The ideal candidate has experience being responsibile for the quality and content of financial data, reporting, and audit coordination for either a startup, division or significant program area, and has preferably overseen a human resources function previously
  • Technologically savvy, with experience selecting and overseeing software implementations and managing relationships with software vendors; knowledge of accounting and reporting software, especially Xero, Bill.com, and Gusto
  • Commitment to training programs that maximize individual and organization goals across the organization including best practices in human resources activities
  • Experience coordinating contract and legal agreement negotiations with support from legal counsel
  • Familiarity with federal grant management, reporting, and accounting
  • A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • Personal qualities of integrity, credibility, and dedication to the mission of VitriVax
