Job Description: Collections Manager
Reporting to: Senior Director, Accounting Operations
Downtown Denver-based Company seeks a dynamic professional who is highly-organized and has experience working well with teams and independently. The ideal candidate has 5-10 years of experience related to collections, strong attention to detail and excellent communication skills. The best candidate will have strong problem-solving skills, and an ability to create tools to enhance our current collections processes. Main responsibilities include managing the AR balance, creating visibility and reporting on AR balance, overseeing collections efforts and helping with other AR projects as needed.
Responsibilities:
- Manage Accounts Receivable balances
- Understand the entire Accounts Receivable balance (which products, amounts, past due, upcoming travel, payment methods used, responsible party, etc.)
- Create reporting that provides visibility around all balances
- Identify all past due/delinquent accounts
- Work with appropriate departments to collect on A/R
- Report to Executives when not successfully collecting
- Be accountable for reducing the A/R balance as much as possible
- Build out current collections process
- For each segment of Accounts Receivable, establish best practice for collections process
- Identify first point of contact and create collections timeline before escalating
- Determine escalation process including internal legal action and outside collection efforts, if necessary
- Identify and implement a collections agency, if needed
- Manage all failed ACH transactions & credit card disputes
- Process Zuora returns
- Work with Care team to resolve member payment issues
- Resolve all disputes with merchant processors
- Work with GL team to enter dispute transactions as needed
- For each segment of Accounts Receivable, establish best practice for collections process
- Streamline process for non-member invoice collections
- Ensure controls are in place for manual processes
- Monitor and report on collections process
- Ensure appropriate stakeholders are notified of past due accounts
- Follow up to ensure action taken and money is collected
- Accounting Operations Support
- Work with team on special projects as needed
- Create and maintain training documents for all processes; cross train teams as needed
Required Skills: To perform the job successfully, an individual should demonstrate the following competencies:
- Project Management – Must be able to initiate, plan, execute, monitor and report on projects related to collections and AR balance.
- Interpersonal Skills – Must have strong social skills and be successful in building relationships
- Problem Solving – Must be able to solve problems in a timely manner; gather and analyze information skillfully and efficiently; and work well in group problem solving situations.
- Communication Skills - Must be able to communicate effectively and in a concise manner, both verbally and in writing.
- Adaptability - Adapt to changes in the work environment; manages competing demands; changes approach or method to best fit the situation; delays, or unexpected events, appreciates opportunity to adjust and adapt with growing business.
- Software Expertise: Some accounting software experience preferably in Zuora and Great Plains. Proven expertise in the Microsoft Office Suite, specifically Word and Excel. Experience with Salesforce.com and credit card merchant sites is preferred.
Qualifications: Candidate must meet the following qualifications:
- Bachelor’s degree, preferably in Accounting
- 5+ years of experience working successfully in a similar business environment.
- Ability to maintain attention to detail while multi-tasking in a fast paced, high-volume environment.
- Must be self-motivated and proactive
