The Accounts Receivable & Collections Representative performs a variety of functions in the accounting department of this publicly held company, including special projects as assigned. The key areas of focus are recording daily cash deposits against existing accounts receivable and communicating with customers to identify and resolve any issues preventing the customer from paying their outstanding invoices. As practical and appropriate, this role will be cross-trained to provide support and back-up to other areas of the accounting department. The successful candidate will be diligent, computer literate and proficient in Excel and Adobe Acrobat.   Also, an effective communicator with the persistence to build productive working relationships with external customers, teammates, and company leaders.

Responsibilities

    • Maintains strictest level of security and confidentiality of all company and client records.
    • Supports accounting processes and procedures to uphold timely and accurate accounting practices and reporting.
    • Receives daily bank deposit information and creates journal entries and appropriate support documentation. Specific accounting entries record the deposit, apply payments against specific customer invoices, and create adjustments as necessary and appropriate.
    • Performs customer account communications and reporting including, but not limited to:
      • Run reports which show aging of outstanding customer invoices
      • Communicate directly with client representatives to identify any issues preventing payment
      • Work with internal team members to resolve any identified issues
      • Maintain appropriate records documenting customer contacts, actions, and account status
      • Support internal control, audit, and parent company reporting needs
      • Additional or modified tasks as organizational needs evolve
    • Develops and maintains positive relationships with internal and external customers

  • 2+ years customer service and interactions, including collections, preferred
  • Solid relationship and problem solving skills.
  • Proficiency in Microsoft Excel and Adobe Acrobat preferred
  • Strong interpersonal skills to work with variety of people outside and inside the company
  • Keen attention to detail, accuracy of data, and adherence to deadlines
  • Ability to accommodate workload while maintaining organization, accuracy, and documentation.
  • Ability to work independently.
  • Persistence combined with a desire to understand issues from the other person’s perspective and help them.
  • Strong ability to develop and maintain team-based professional relationships with managers, colleagues, and external customers
  • Ability to communicate with appropriate personnel in an assertive, professional manner if requests arise that are irregular or not in accordance with established policies and procedures.
  • Ability to work in fast-paced and changing environment.
  • EDUCATION and/or EXPERIENCE
  • 2+ years in a professional office environment preferred
  • 1+ years in a customer service/interface role, particularly collections, preferred
  • College courses in accounting or business preferred. An accounting degree, or pursuit of one, is preferred but not required. Education in psychology, sociology, or related fields also considered.
  • COMPUTER SKILLS
  • Microsoft Excel proficiency (preferred), Microsoft Office, Adobe Acrobat Pro.
  • LANGUAGE SKILLS
  • Ability to communicate, both verbally and in writing, using clear, concise language.
  • Ability to listen, interpret, and clarify responsibilities and tasks when working with others.
  • MATHEMATICAL SKILLS
  • Ability to understand and create formulas for use in computerized programs (i.e. MS Excel) required.
