Senior Administrative Associate
The Engineering Administration team is looking for a Senior Admin Associate to perform administrative and business support to the Office of the Chief Engineer and the Engineering Operations Director. This new role provides an excellent opportunity for a self-motivated senior administrative professional who is organized, analytical, and discrete, to work with a collaborative and dynamic team on a variety of complex administrative tasks.
What You’ll Do:
- Perform a wide variety of complex administrative tasks for the Office of the Chief Engineer and the Engineering Operations Director.
- Scheduling meetings, maintaining calendars, and making conference room reservations, all within Outlook.
- Coordinating travel and completing expense reports.
- Attending meetings and documenting agreements and action items, and ensuring these action items progress to completion.
- Managing office moves (MAC requests), and coordinating onboarding for new hires.
- Liaising between the assigned department and Talent Acquisition to coordinate interviews, both in-person, as well as virtually.
- Coordinating milestone celebrations, all-hands meetings, and networking events.
- Maintaining the department’s SharePoint site.
- Entering purchase requisitions into the IFS purchasing program, and monitoring completion of purchase orders.
- Provide backup support to the Senior Administrative Associate assigned to the Fusion (Digital Engineering Platform) Program.
- Monitor the Chief Engineer’s email inbox to prioritize and flag items as appropriate.
- Assist on projects in alignment with department goals in various functional/program areas as assigned. Perform other duties as necessary.
- Manage overhead and/or bonus pool budgets.
- Pay vendor invoices and manage a purchase (P-) card account.
- File and retrieve records, folders, or other materials.
- Gather data, and perform computer data entry, retrieval, and word processing, and prepare presentation materials.
- Coordinate the department’s monthly newsletter.
- May greet visitors and customers, and coordinate security access.
- Operate other computer software programs and various other types of office equipment, and assist teammates in their use.
- Work with sensitive and confidential information and situations, requiring the employee to handle situations appropriately, and maintain proper confidentiality.
- Maintain a regular and predictable work schedule.
- Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Support Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.
- Perform other duties as necessary.
What You’ll Need:
- High School diploma or equivalent plus 6 or more years of related experience.
- Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
Working Conditions:
- Work is performed in an office environment, laboratory, cleanroom, or production floor.
- Travel and local commute between Ball campuses and other possible non-Ball locations may be required.
Relocation for this position is not available.
Compensation & Benefits:
- HIRING SALARY RANGE: $21.63 - $28.61 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
