Accounts Receivable Specialist III
General Summary:
The Accounts Receivable Specialist III is responsible for managing the company’s receivables and ensuring timely and accurate collection of payments for assigned accounts. Other responsibilities include applying payments, researching complex payment issues, answering incoming emails/calls, providing invoices to customers, collaborating with Sales, and use of Salesforce and Oracle in daily activities.
KEY RESPONSIBILITIES AND DUTIES
- Responsible for all collections and maintenance of assigned accounts (Customer calls/emails, account adjustments, small balance write off, customer reconciliations, customer statements and credit memo application)
- Monitor and apply incoming payments, resolve discrepancies, and handle adjustments as necessary
- Reconcile customer accounts receivable ledgers to ensure accuracy
- Perform reviews of complex accounts
- Continuously update shared system with collection activities for past due accounts
- Participate in weekly collection calls to report on collections to Manager
- Research customer disputes as they pertain to payment of outstanding balances
- Communicate with customers to address payment issues, answer inquiries, process customer refunds, process and review account adjustments, and resolve client discrepancies
- Accountable for reducing delinquency for assigned accounts
- Escalate issues to sales and management when necessary to accelerate the collection process
- Must communicate and follow up effectively with sales team regarding customer accounts on a timely basis
- Assist accounting team with any questions or research needed during the month end close process
- Draft, send and track disruption of service notifications
- Prepare and send other notices to customers as required
- Participate in team planning meetings
- Identify and recommend improvements to processes to enhance effectiveness
- Establish and maintain effective and cooperative working relationships with customers and sales
- Meet defined team goals and activity metrics
- Provide excellent and considerate customer service to customers and sales personnel
- Must be able to work overtime as needed at month end, quarter end, and year end
- Perform other assigned tasks and duties necessary
REQUIRED SKILLS
- Knowledge of Billing and Collections procedures
- Enthusiasm to be a team player and assist others when necessary
- Ability to escalate out of the ordinary problems and assist in resolution
- Strong attention to detail and organizational skills
- Commitment to excellent customer service
- Goal oriented
- Excellent written and verbal communication abilities
- Ability to prioritize and manage multiple responsibilities
- MS Excel, Word and Outlook
PREFERRED QUALIFICATIONS
• Experience with Salesforce and Oracle
• 3-4 years corporate business to business collections experience
The Accounts Receivable specialist III compensation range is: $22.69 - $28.37
The base salary range represents the anticipated low and high end of the GHX’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies, and proficiency for the role. The base salary is one component of GHX’s total compensation package for employees.
