We are seeking a full-time office manager to join our fast-paced and growing entrepreneurial team, working in our Denver HQ/office. We are a team of consultants and developers and this position requires an organized, reliable individual with ability to see what needs to be done, do it, and follow up with minimal supervision. This person will provide admin support to the CEO, management and team, as well as handle defined responsibilities. There is interaction with our local and remote team members, outside partners and clients, and there is room for growth for a person with aptitude and interest. We use QuickBase to run most of our business, so this person needs to be able to pick up and be proficient at using QuickBase. We have an external accountant and bookkeeper that handles paying bills, accounting, taxes, and the Office Manager interacts with that person to do the work that supports the payroll and accounting.
Experience & Ability Desired:
* Good organizational and people skills
* Decent business acumen, to be highly functional in a technical professional services environment
* Excellent oral and written business communication skills (much communication is by email and phone with remote parties)
* Efficiently accomplish a variety of tasks quickly and accurately
* Ability to work within a set schedule or deadlines, plus the ability to create deadlines for yourself
* Fluency in MS Office and similar business tools (like Google Docs)
* Conceptual understanding of customer relations management and/or project management platforms, particularly reporting functions, and how that technology can best be used to do your job well.
Responsibilities include:
* Supporting invoicing, collections, monthly revenue calculations and payroll (requires good spreadsheet skills)
* Handling mail and depositing checks
* Recruiting and onboarding new staff
* Working in our main QuickBase system on invoicing existing projects and product subscriptions
* Booking business travel
* Obtaining office food and beverage supplies
* Benefits administration, merchant services, building management liaison and other admin responsibilities
* Ordering business cards and helping set up new staff (logins, email groups, equipment, etc.)
