Office Assistant/Receptionist
Guild Education is helping working adults in America go back to school, advancing their education and career while on the job. We are looking for an Office Assistant/Receptionist to join our team at our downtown Denver office.
As our Office Assistant/Receptionist, you will:
- Be the first smiling face guests of Guild see when they arrive - ensure they connect with the appropriate team member and that each visit is set up for success
- Ensure Guild’s office is “visitor ready” every single day – do daily walk throughs to make sure communal space and conference rooms are clean and ready (wink walls clean, dishes removed/washed and unloaded, supplies stocked, etc.)
- Communicate effectively with internal team members and external visitors
- Order business and kitchen supplies based on established standards within budget
- Order catering for office lunches and/or events with established vendors and within budget
- Perform office operations (mail, organization of supplies, receipt management, data entry, etc.) that support our office and teams
- Perform administrative tasks to support Guild office and teams including, but not limited to scheduling interviews, booking travel, scheduling meetings, printing/mailing documents, etc.
- Schedule vendors, technicians or services (HVAC, janitorial) others to provide services to keep the office running smoothly
- Support employee desk setups and moves
- Partner with the VP People and others to identify issues, create processes and implement solutions / communications associated with the operations of our office
We are looking for the following experience:
- Experience in a similar fast growing, dynamic and busy environment
- Organizational and communication (written, verbal) skills
- Experience with Google Office (docs, calendar) and Microsoft programs
- Experience scheduling, booking travel, ordering supplies and coordinating catering
- A willingness to step in and do any task that supports the smooth operation of the office
- Ability to adapt to frequent change and adjust priorities accordingly
- A desire to learn - on day 1 you are eligible for 100% subsidized training in any of Guild’s training programs and after 6 months, you are eligible for tuition assistance to further your education
This role is a FLSA non-exempt (hourly), benefits-eligible role. 40 hours per week with occasional overtime hours.
