Facility Coordinator

Reporting to the Facilities Manager in our New York office, you will have the opportunity to showcase your self-starter personality shine to our Denver team.

As a Facility Coordinator, your responsibilities will include:
Front Desk Responsibilities:
- Responsible for manning front desk for visitors (candidates, business professionals, investors)
- Oversee, manage and coordinate mail, shipping and receiving of sensitive and internal correspondence, mail and packages
- Sort mail and packages. Contact employees regarding their arrival
Office Maintenance
- Serve as a liaison between the CO office and building management/maintenance crew
- Ensure the physical appearance of the new office is to company standards
- Coordinate procurement and oversee the stocking of office and kitchen supplies by Aramark Oversee and assist with keeping the three kitchens tidy daily
- Assist with seating changes and keep internal space planning software up to date
- Manage any repairs that need to occur around the office
- Work closely with the OnDeck Facilities Manager in New York on expenditures and office upkeep
- Help with office beautification projects from time to time
Supplies
- Monitor, order and stock copy room supplies
- Monitor, order and oversee the stocking of kitchen supplies. Stock yourself when necessary
- Receive vendor orders and ensures all items are included
- Perform a weekly audit of all conference rooms making sure they are well stocked with supplies
Budgeting
- Manage Colorado Facilities budget
- Food/Beverage
- Office Supplies
- Maintenance
- Ergonomics
- HVAC repair/maintenance
Events
- Order catering for office social hours and other events using small businesses whenever possible
- Setting up for in house conferences/trainings
Onboarding/Offboarding
- Add/Delete users from company partner accounts
- Set up new hire desk with company swag
- Add/delete user to office seating map
- Clear user’s desk upon exit
Safety
- Act as a Fire Warden
- Activate and deactivate building access cards in a timely manner so as to mitigate potential security breaches
- Keep all site specific Emergency Action Plans up to date
- Maintain the Fire Safety Team and Crisis Team list designating backfill for employees no longer with the company
- Manage digital roll call member additions and deletions
- Perform a monthly audit of activated access cards to ensure only full time employees have active cards
Vendor Management
- Liaison with vendors
- Negotiate rates
- Work with Facilities Manager to manage contracts
Qualifications for success:
- Previous experience as an Office Coordinator or Office Manager a plus
- Strong communication skills (written and verbal) & excellent customer service skills are a must!
- Must be comfortable with Excel
- Event planning skills handy for office social events
- Self-starter who prides themselves as organized and detail oriented
- Patience & flexibility
- Past experience with managing a budget is preferred An appreciation of beautiful spaces is always a bonus!
