The Executive Assistant provides high level organizational support to executive leaders in the company. This individual must be able to interact with staff and stakeholders at all levels, showing resourcefulness, flexibility and a high level of professionalism. The Assistant will work closely with the company executives to support external and internal priorities and ensure efficient distribution of time.

The position will involve a wide range of assignments and will require analytical ability and organizational skills. While the position will span many types of assignments, some of which can’t be anticipated in advance, most of the work will fall into two categories: project / time management and communications.

  • Manages executive calendars ensuring proactive management of meeting agendas, preparation and potential conflicts.
  • Oversees and coordinates preparation for meetings, ensuring that materials are timely and complete.
  • Prepares notes and action items from each meeting. Relays follow up information to other departments as appropriate.
  • Quickly and efficiently manages domestic and international travel. Ensures that all required travel documents are obtained and travel is booked optimizing travel to effectively manage costs and the Executives availability.
  • Strategically manages and maintains the schedule of the executive so that every day is efficiently organized
  • Accurate and timely handles expense reports with Accounting/ Finance.
  • Organizes and manages internal events including venue selection and contract negotiation, travel arrangements, event logistics and communication on behalf of the executive.

Required Qualifications  

  • Must exhibit an intellectual curiosity to learn the business and apply the knowledge to the role.
  • 5 + years of Executive Assistant experience in a fast-paced environment (experience with high growth start-up environments is a plus)
  • It is extremely important that the individual is available, responsive, flexible and adaptable.
  • Must have a proactive mindset
  • Excellent verbal and written communication skills
  • Strong attention to detail with maturity to manage highly confidential information and materials is a must
  • Highly organized with the ability to complete project work while at the same time attending to work that is urgent
  • Ability to work in a team environment with a diverse group of staff
  • Exhibits professionalism and composure in stressful situations and in meeting short deadlines
  • Must possess high attention to detail and excellent oral and written communication skills, as well as organizational, research skills, proofreading/editing, and interpersonal skills.
  • Ability to learn quickly, prioritize tasks, and work accurately under pressure.
  • Demonstrated experience in managing multiple tasks in a high tempo environment with little supervision.
  • Expert proficiency in Microsoft Office (Excel, Access, PowerPoint, Word), Adobe Acrobat, various document processing and database applications, and basic internet searches.
  • Sense of humor greatly appreciated

Education

  • Bachelor’s degree required; or significant relevant work experience.
