We are looking for a talented Administrative Assistant to be based in our Denver, CO headquarters.  This role calls for someone who is truly ‘high velocity,’ where wearing multiple hats is key to success. The position is well-suited for the particularly ambitious person who loves navigating client challenges and is attracted to, or experienced with, working at a startup.  The right candidate has a relentless zeal to contribute and should have an affinity towards matters of international growth and employment. There is a constant opportunity for competency development, as the right candidate will learn the business model of Velocity Global and will immerse himself/herself into the unique business models. This position reports to the CEO.

Essential Duties and Responsibilities:

  • Support the day to day needs of the CEO, including email and calendar management and travel coordination
  • Be the “face” of Velocity Global, maintaining a professional office environment and exuding a polished, customer-centric approach to internal and external partners, clients and prospective clients
  • Support facilities management, including parking management and office space expansions (we are growing quickly, this is happening every 6-9 months currently)
  • Effectively intercept and route telephone and mail communications both internally and externally
  • Negotiate the purchase of office supplies and furniture, office equipment, etc., for the staff in accordance with company purchasing policies and budgetary restrictions
  • Supervises the maintenance of office equipment, including copier, fax machine, internet, etc. Responsible for the facilities day-to-day operations (such as gathering signatures, scheduling conference rooms, business card orders, etc.)
  • Support new employee onboarding by gathering equipment such as computers and employee phones as well as distributing building access keys and back-up to security access cards
  • Manage corporate apartment to include keys, calendar and scheduling cleanings
  • Coordinate company-wide team events and travel
  • Conduct research assignments, as necessary
  • Responsible for document retention and contract management
  • Assisting with and then own Expense Reporting, and Office Payables (categorizing Expensify receipts).
  • Committed to meeting established timelines and deadlines, both external and self-imposed
  • Develop and maintain competency in the area of international employment
  • Other duties as assigned…  as a startup, we embrace supporting ALL areas of the business.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education/Experience:

  • Four-year college degree or equivalent experience
  • 1-3 years of experience in an administrative support function
  • Research-oriented, exceptional organizational skills and attention to detail
  • Ability to quickly assimilate information; with operations across 180+ countries there is a lot to learn
  • Excellent presentation, verbal and written communication, listening and consultative skills.   We are looking for someone who finds tremendous satisfaction in everything from a well-crafted email, to a dynamite presentation. 
  • Technology literate, including Microsoft Office suite  
  • Drive, strong work ethic, and a passion for furthering our truly unique and fun team environment… it should be in your bones
  • Interest in international business and contributing at a consistently high level
